Job Description

SkinLife MedSpa is a leading medical spa in Anchorage, Alaska, specializing in cutting-edge non-surgical cosmetic procedures. Our mission is to empower our clients with renewed confidence by providing exceptional aesthetic services in a safe and welcoming environment.

The MedSpa Practice Manager is responsible for the overall operational, administrative, and business management of the medical spa. This role ensures regulatory compliance, financial performance, staff leadership, and exceptional patient experience.

Responsibilities

  • Manage daily clinic operations, scheduling, and patient flow
  • Establish and maintain operational policies and procedures
  • Oversee inventory, supplies, equipment, and vendor relationships
  • Ensure clinic readiness, cleanliness, and professional presentation
  • Maintain HIPAA compliance and patient confidentiality standards
  • Ensure consent forms, treatment documentation, and incident reports are complete and accurate
  • Recruit, onboard, train, and supervise all non-provider staff
  • Manage scheduling, timekeeping, and payroll coordination
  • Conduct performance reviews and corrective action when necessary
  • Track licensure, certifications, and required continuing education
  • Oversee POS systems, daily revenue reconciliation, and cash controls
  • Monitor expenses, margins, and service profitability
  • Support pricing, promotions, and package development
  • Assist with budgeting, forecasting, and financial reporting
  • Set and enforce customer service standards
  • Resolve escalated patient concerns and complaints
  • Coordinate local marketing, social media, and retention initiatives
  • Monitor reviews, referrals, and patient satisfaction metrics
  • Acting as the role model for service, the patient concierge exemplifies the practice's positive spirit and our commitment to skincare
  • Administrative responsibilities including answering phones, scheduling patients, taking before/after pictures
  • Opening and closing practice each day
  • Actively promote the med spa, treatments, services, products, as well as promotions and/or discounts available
  • Manage multiple responsibilities while maintaining composure, always keeping the clients a priority
  • Efficiently provide basic office administrative support tasks including but not limited to mailing, faxing, sorting, typing, and filing
  • Maintain a professional and clean work environment and appearance
  • Fulfilling product orders
  • Other duties as assigned

EDUCATION and/or EXPERIENCE

  • 3–5 years of healthcare, aesthetics, or clinical practice management experience
  • Strong understanding of medical compliance and operational controls
  • Proven leadership and people management skills
  • Financial acumen and comfort with metrics and reporting
  • Experience with EMR/POS systems preferred
